Job Description

Redlands Community College is seeking candidates to apply for the Executive Administrative Assistant position. This is a full-time, professional staff position working 40 hours per week. The salary range for this position is $38,000 to $42,000 per year with excellent benefits. This position will report to the Executive Vice President, Vice President for Academic Affairs and Executive Director of External Affairs. The Executive Administrative Assistant will be highly organized and detail-oriented and provides direct support to the Executive Vice President, Vice President for Academic Affairs, and Executive Director of External Affairs. This position requires strong communication skills, proficiency in Microsoft Office, and the ability to manage multiple priorities with professionalism and confidentiality. The ideal candidate will be a self-starter who thrives in a fast-paced, team-oriented environment. Prior experience with budget management and scheduling is preferred.

Responsibilities include:

  • Provide high-level administrative support by writing and preparing letters, memos, emails, and reports in draft and final form.
  • Answer and direct inquiries for internal and external customers, ensuring professional and timely communication.
  • Attend and record meeting minutes in support of the Executive Vice President, Vice President for Academic Affairs, Executive Director of External Affairs, and assigned college committees.
  • Schedule appointments and meetings, maintain calendars, and coordinate travel arrangements.
  • Establish and maintain filing systems, including sensitive and confidential records.
  • Assist with budget preparation and maintain accurate records for various departments.
  • Create purchasing requisitions and maintain supporting documentation, including purchase orders and invoices.
  • Maintain and administer P-card purchases in compliance with institutional policies.
  • Order and maintain office supplies to ensure efficient daily operations.
  • Plan and coordinate special projects and support campus events as assigned.


Qualifications:

  • Associate degree in business administration, office management, or related field.
  • Experience managing multiple budgets and performing budget-related tasks.
  • Excellent verbal and written communication skills.
